This privacy policy describes how the personal data of website users are processed grifofestival.org pursuant to Regulation (EU) 2016/679 (GDPR) and Legislative Decree 196/2003.

Data Controller

The data controller is the organizing committee of the Grifo Festival, contactable at info@grifofestival.org.

• Personal and contact data (name, email, phone, country, city).
• Data related to submitted works (title, director, technical sheet, synopsis, video link, video password).
• Uploaded documents (poster, director's photo, releases, declarations).
• Authentication data (email and encrypted credentials, managed by the authentication provider).
• Audience voting data (vote, optional email, IP address, user agent — to prevent abuse).
• Logs of consents given.

Purposes and legal bases

• Management of Festival applications — basis: execution of contract/regulations.
• Evaluation of works by the jury — basis: execution of the participation regulations.
• Audience voting and abuse prevention — basis: legitimate interest and consent.
• Sending informative newsletter — basis: explicit consent (revocable at any time).
• Promotional use of video excerpts, posters, and photos — basis: separate explicit consent during registration.
• Legal obligations — basis: legal obligation.

Protection of uploaded documents

Documents uploaded during registration are stored in non-indexed private storage, accessible via time-signed URLs. Access is limited to the Festival secretariat and designated jurors for assigned works.

Retention

Application data are retained for the duration of the edition and for the subsequent 5 years for cultural and statistical archiving purposes. Audience votes are retained in aggregated form for the duration of the publication of results. Consent logs are retained for 10 years to protect the organization and the data subject.

Data Subject Rights

You can exercise the rights referred to in articles 15-22 GDPR (access, rectification, erasure, restriction, portability, objection, withdrawal of consent) by writing to info@grifofestival.org. You also have the right to lodge a complaint with the Garante per la protezione dei dati personali.
